Terms & Conditions

Scope of Agency
CIG Travel offers retail travel services to Travelers, which are provided by separate and independent vendors of travel services. CIG Travel does not own, control, operate, or otherwise provide the travel services and products provided as part of your travel, such as flights, accommodations, vacations packages, travel insurance, tours, excursions, or any form of transportation including but not limited to aircraft, cruise ships, buses, rental cars and other forms of transportation used in connection with booking travel (“Travel Products/Services”). The Travel Products are owned, controlled, or made available by third parties (the “Suppliers”), such as airlines, hotels, tour operators, and transportation companies. Their use is subject to the conditions and regulations of the Suppliers concerned and the applicable local or international law.

Each booking constitutes the sole contract between the Traveler(s) and Supplier(s). The Traveler(s) must adhere to the Supplier(s) terms, conditions, and cancellation policies, which vary between each Supplier. CIG Travel shall not be held responsible for any act, omission, or event caused by the Supplier(s) of the Travel Services.

Airfare: The conditions contained on the Traveler’s airline ticket shall constitute the sole contract between the Airline (Supplier) and the Traveler(s). CIG Travel will not be liable for any change fees, cancellation fees, or other additional costs you incur with the air carrier(s). Due to continual changes in airline baggage policies, it is suggested that you inquire with your airline’s website for up-to-date fees and information. CIG Travel is not responsible for additional fees incurred for baggage or seating.

Cruises, Tours, Excursions, and Vacation Packages: The conditions contained on the Traveler’s vouchers and/or travel documents shall constitute the sole contract between the Tour Operator, Local Supplier, Hotel, Transportation Company (Suppliers), and the Traveler.

Release of Liability
CIG Travel assumes no responsibility for and shall not be liable for any refund, personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity, which may be caused by: (1) any defaults, wrongful or negligent acts, or omissions by the Suppliers; (2) any defect in or failure of any vehicle, craft, equipment, or instrumentality owned, operated, or otherwise used or provided by the Suppliers; or (3) any wrongful or negligent acts or omissions on the part of any other party not under our control.

Suppliers reserve the right to deviate from the direct, customary and/or scheduled route or itinerary for any reason, without limitation, and without notice. Traveler(s) acknowledge and agree that CIG Travel is not responsible for Supplier deviations, delays, cancellations, mandated overnight stays, missed connections, or any other condition beyond its control.

Traveler(s) acknowledge and understand that cruise lines, tour operators, and other Suppliers have their own contracts covering cancellation penalties and other terms and conditions and that you are bound by those contracts regardless of whether you receive notice of their terms.

Force Majeure
CIG Travel assumes no liability for any loss, damage, delay, or cancellation resulting in whole or in part from Acts of God or any other force majeure condition including, and without limitation, Acts of God, explosion, flood, forceful wind, volcanic eruption, fire, accident, war or threat of war declared or undeclared, acts of terrorism, sabotage, riots, strikes, civil disturbance, requisition, epidemics, pandemics, sickness, quarantine, government intervention, weather conditions, defects in machinery and vehicles, delay, wildlife, or other untoward occurrences. CIG Travel shall not be liable for any loss or damage incurred by you as a consequence of any Suppliers’ inability to perform its obligations due to the unusual or unforeseeable circumstances (a “force majeure event”) beyond the control of the party affected by the force majeure event. If any of our travel Suppliers are affected by Force Majeure, they shall be entitled, at their sole discretion, to vary or cancel any itinerary or arrangement in relation to your trip without notice.

Travel Insurance / Protection
Travel insurance protection is strongly recommended. As your Travel Agent, we have a professional responsibility to recommend purchasing a travel protection plan to protect your travel investment in the event of unforeseen circumstances. CIG Travel does not purchase travel insurance on behalf of Traveler(s). Traveler(s) understand and agree that should Traveler(s) choose not to purchase travel insurance or should Traveler(s) purchase inadequate coverage for their trip, the Traveler(s) will be solely and fully liable for any loss, damage, expense, cost or any other issue affecting Traveler’s property or person, including those relating to tour cancellation or interruption, loss or theft of personal property, medical expenses, and more. Additionally, Traveler(s) should consider purchasing COVID-19 quarantine coverage, if possible, to best prepare for any costs related to emergency quarantining in a foreign country.

If purchasing travel insurance, we urge you to thoroughly read your policy’s confirmation of benefits. This information includes but is not limited to details on the extent of coverage and procedures for making a claim. Please note that the travel insurance provider may not be allowed to discuss your claim with CIG Travel due to privacy laws (e.g. HIPAA). Passenger(s) acknowledge and agree that CIG has no control over the travel insurance provider or its coverage decisions, and as a result, CIG Travel is not responsible for and shall not be liable for policy coverage, claims processing, or the denial of any claims.

Assumed Risk / Hold Harmless Statement
Travel has its inherent risks, and the Traveler(s) acknowledge such risks exist, up to and including death. Inherent risks include, but are not limited to, risk of injury or death from: motor vehicles collisions, animals, roadway hazards, slips and falls, criminal or terrorist acts, government actions, consumption of alcoholic beverages, tainted food, or non-potable water; exposure to the elements, including heat, cold, sun, water, and wind; your own negligence and/or the negligence of others, including tour guides, other travelers, CIG Travel and its employees, agents and/or representatives; attack by or encounter with insects, reptiles, and/or animals; accidents or illness occurring in remote places where there are no available medical services; fatigue, chill, overheating, and/or dizziness; known or unknown medical conditions, physical excursion for which you are not prepared or other such accidents; the negligence or lack of adequate training of any third-party providers who seek to assist with medical or other help either before or after injuries have occurred; accident or illness without access to means of rapid evacuation or availability of medical supplies or services; and the adequacy of medical attention once provided.

Traveler(s) understand the description of these risks, including risks due to COVID-19, is not complete and that unknown or unanticipated risks may result in injury, illness, or death. Traveler(s) are willing to accept the risks and uncertainty involved as being an integral part of travel, including the risk of infection, illness, and death. Traveler(s) hereby accept and assume full responsibility for any and all risks of illness, injury, or death, and of the negligence of CIG Travel, and agrees to and shall hold harmless and fully release CIG Travel, its owners, members, agents and assigns (together CIG Travel) from any and all claims associated with the trip, including any claims of third party negligence and/or the negligence of CIG Travel and Traveler(s) hereby covenant not to sue CIG Travel for any such claims or join any lawsuit or action that is suing CIG Travel. This agreement also binds your heirs, legal representatives, and assigns. The terms of this HOLD HARMLESS AND RELEASE OF ALL LIABILITY paragraph shall survive any termination or cancellation of this contract, whether by operation of law or otherwise.

Booking Accuracy / Legal Names
Travelers are required to immediately review all aspects of their booking to verify, but not limited to, passenger name(s), mailing address(es), date(s) of birth, pricing, airfare, arrival/departure airports, accommodations, and organized activities on your booking confirmation. Please notify CIG Travel immediately if any omissions and/or corrections are needed regarding the booking details. Traveler(s) voluntarily assume full and sole responsibility for any and all risks and/or costs involved with failure to report such errors and/or omissions.

The name, date of birth, and gender that appears on your passport or government-issued ID must exactly match the same such data that is listed on airline ticket(s) and booking records. CIG Travel strongly recommends that you take into account that certain countries will not admit a passenger if their passport expires within six (6) months of the return date of travel. Non-United States citizens may require additional documentation. Children and infants also require all such travel documents.

Travel Documents / Entry & Re-Entry
Traveler(s) are responsible for obtaining any required immunizations and travel documents including but not limited to ID Card, Driver’s License, International Driver’s License, Passport, and Visa. Vaccination records and required documents must be in good standing condition, valid, and on hand. CIG Travel cannot obtain personal travel documents for Traveler(s). Traveler(s) will be responsible for current knowledge of entry requirements necessary for each country of travel and/or transit on your selected itinerary. Traveler(s) are responsible for any expenses incurred due to delays or itinerary changes related to your lack of appropriate travel documents. Additionally, CIG Travel is not liable or responsible for any Traveler(s) being denied entry or exit to or from the travel destination based on a lack of adequate documentation or required immunizations.

Countries have different laws regarding entry for persons with criminal records. It is your responsibility to know destination entry laws if you or anyone in your party has a criminal record. We do not inquire about an individual’s criminal record in the interest of respecting our Traveler(s) privacy. Refusal of entry is not a valid reason for cancellation or chargeback.

CIG Travel recommends that Traveler(s) consult with the appropriate domestic and foreign governmental agencies for the current document requirements.

Pre-existing Medical Conditions/Persons with Disabilities
In some cases, travel destinations may be unsuitable for those who use a wheelchair or have a lack of mobility. You must advise us before booking if you do have any disability or pre-existing medical condition which may affect your tour, or if you have any special requirements as a result of any disability or medical condition (including any which affect the booking process) so that we can assist you in considering the suitability of the arrangements and/or in making the booking. CIG Travel will communicate requests to Suppliers, but please note that accommodations outside of the United States may not be in compliance with the Americans with Disabilities Act (ADA) and may not have wheelchair accessibility. CIG Travel cannot be held responsible if ADA accommodations are not available. Any accommodations provided will be at the sole expense of the traveler requiring the accommodation.

Our Suppliers are, unfortunately, unable to offer additional assistance to travelers with limited mobility and all such assistance will need to be provided by whoever the traveler is traveling with. Travelers with disabilities must notify CIG Travel at the time of booking of the status and the identity of their non-discounted, paid travel companion who will be responsible for providing all necessary assistance. We may request that you provide a letter from your doctor confirming your fitness to travel.

Supplier Pricing
Prices and availability quoted by CIG Travel are not guaranteed until a deposit is fully paid. Pricing and availability may change without notice. Traveler(s) agree that CIG Travel is not responsible for any errors or omissions in any quotes, or advertisements, including on our website, resulting in inventory, content, or pricing discrepancies nor is CIG Travel responsible for any errors or omissions that may occur as a result of incorrect information from third parties. Suppliers reserve the right not to honor any published prices that it determines were erroneous due to electronic, printing, or clerical error. You acknowledge this right and agree to hold CIG Travel harmless for any actions or damages arising from Supplier pricing.

CIG Travel reserves the right to charge Traveler(s) for any increase in taxes, fees, or surcharges. Travelers(s) acknowledge this right and agree to pay any such additional taxes, fees, and surcharges.

Supplier Payments
CIG Travel accepts Visa, American Express, Discover, and Mastercard for processing through our Suppliers/Vendors. CIG Travel holds reservations until the “Deposit Due Date” indicated on your confirmation. If the deposit/payment is not received by CIG Travel on or before the Deposit Due Date, reservations are automatically canceled. Please contact us immediately,
and in advance of your payment due date, if you will be unable to meet this obligation. Without limitation, Traveler(s) voluntarily hold CIG Travel harmless for cancellation of any booking for either late payment or declination of a credit card.

You understand that as part of booking any Travel Services that certain personal information may be conveyed to third parties to accommodate your travel. Such information includes birth dates, passport numbers, travel dates, occupation, frequent flyer information, bank accounts, credit cards, and other financial information needed to secure travel arrangements. You will not hold us liable for the distribution of your information to the third-party Supplier(s). Our liability for the failure of any Supplier to protect your personal information is specifically excluded. We keep your personal information only as long as needed to provide information for our sole use of travel and other services for you and for a reasonable length of time thereafter for legal or business purposes.

COVID-19 Travel Waiver
As the worldwide COVID-19 coronavirus pandemic remains ongoing at this time, Traverer(s) acknowledge that for this reason, and other reasons not foreseeable at this time, these travel plans may be interrupted or canceled by the Supplier that is providing them, a government entity, or other third parties over which CIG Travel has no control. Traveler(s) further acknowledge that the Supplier’s cancellation, rebooking, and refund policies, subject to any applicable law that is now or may later be in effect, will govern your rights and remedies in such an event.

You understand that it is your responsibility to check the latest travel information advisories and requirements from CDC regarding COVID-19 and requirements for any related travel advisory.

Moreover, Traveler(s) understand that should you elect to purchase travel insurance, the terms of the policy will dictate whether, and to what extent, coverage for any financial loss may exist under the circumstances. Traveler(s) hereby agree to hold CIG Travel harmless and release Agency from any and all liability for any damages, including but not limited to monetary losses that may be incurred as a result of such interruption or cancellation of these travel plans.

Reservations and Payment
It is recommended that payment be made through a major credit card to obtain protection in the event of bankruptcy or default by a Service Provider/Supplier.

By providing your credit card details for payment of any kind, you acknowledge and accept our Terms and Conditions and agree to abide by them. You authorize us to charge your credit card for the charges associated with your Agency Design Fees and travel booking through our Suppliers. By authorizing CIG Travel to charge your credit card through our payment authorization form, you acknowledge that you understand and agree to all the terms and conditions of the booking, including but not limited to, all cancellation policies.

Agency Design Fees, regardless of travel, are non-refundable.

Pre-payment of Agency Design Fees will be required to provide a quote.

All cancellations will incur a minimum charge of $250 per person.

Payment Terms and Conditions
By paying our Agency Design Fee and/or giving us a deposit, or making a booking, you acknowledge that you have read and accepted our Terms and Conditions on behalf of yourself and anyone in your party. The lead Traveler assumes responsibility for sharing these Terms and Conditions with all parties in the booking. It is the responsibility of each party to read these Terms and Conditions. If there is any part of these Terms and Conditions that you do not understand, please contact us for clarification.

A purchase is not complete until the deposit(s) and other monies due have been processed and a confirmation of booking has been provided to you.

Receipt of payment and confirmation from us confirms agreement to these Terms and Conditions. If the final payment is not received by the due date, all components of the booking could be canceled by the Supplier without a refund of payments previously made.

We are not responsible for penalties, fare increases, or fees incurred due to any late payments, all of which must be paid by the Traveler(s).

Credit Card Disputes
Traveler(s) agree to hold CIG Travel harmless for any financial penalties or fees imposed by Suppliers, hotels, airlines, cruise lines, tour agencies, or any other travel provider due to cancellations or postponements and agree not to institute a credit card dispute or “chargeback” to CIG Travel for said penalties or fees.

In certain cases, you can dispute charges with credit card companies (chargebacks). Before initiating a chargeback, you must first contact CIG Travel to discuss any questions or concerns regarding the charges.

In the event you attempt a chargeback, reverse, or recollect a trip payment already made without our authorization, we have the right to collect additional costs, fees, and expenses associated with the chargeback, including, but not limited to, attorney fees.

Revisions, Deviations, and Cancellations
Any revisions or deviations made to a reservation will incur a re-booking fee of $100 per person per occurrence, in addition to any other Supplier charges and penalties, should changes and modifications be allowed.

Cancellations will incur a minimum charge of $250 per person.

No refunds whatsoever will be provided for the cancellation of any service(s) made by you or anyone in your party post-departure (while traveling).

No refunds whatsoever will be provided for any unused or partially used service(s) post-departure (while traveling).

If you make any changes to any portion of your travel itinerary post-departure (while traveling), such changes will be completely at your own expense.
